Position Summary
The Accounting Assistant will be responsible for the processing and maintenance of LACI’s accounts payable
function and assist with payroll processing, in accordance with requirements applicable to 501(c)(3)
organizations. This role will also support the accounts receivable function, maintain the department record
keeping system, and assist with ad hoc projects and research. This is a part-time position.


Accounts payable processing

  • – New vendor setup in QuickBooks
  •  – Reviewing invoices for appropriate documentation and approvals prior to processing
  •  – Coding invoices based on program, contract, etc
  •  – Packaging and distributing checks
  •  – Reconciling vendor statements
  •  – Communicating with vendors regarding invoice discrepancies, outstanding invoices, requesting Form W-9’s, etc

Accounts receivable support

  • – Organizing vendor and subcontractor invoices and other documentation in preparation for grant/contract billings
  • – Recording sales receipts
  •  – Reporting sales tax information to third party processor
  •  – Reconciling sales receipts to merchant statements


  • – Reviewing employee timesheets for completeness
  • – Following up with employees with incomplete timekeeping and validating inputs
  • – Preparing bi-weekly timesheet summaries for payroll processing by manager
  •  – Generating monthly physical timesheets and obtaining manager and employee signatures

General duties

  • – Maintaining department digital and physical filing systems
  • – Performing ad hoc projects
  • – Assisting with financial audit preparation


  • – Bachelor’s degree in Accounting, Business or Finance or equivalent job experience
  • – Minimum of 2 year relevant experience working in an accounting department
  • – Experience using QuickBooks Online or QuickBooks Desktop
  • – Strong proficiency in MS Excel and Google Sheets
  • – Excellent organization and time management skills
  • – Flexible, detail oriented self-starter with the ability to work effectively in a fast-paced environment with limited supervision and within a team
  • – Ability to maintain discretion when handling sensitive financial information
  • – Not for profit accounting experience strongly preferred
